Administrative Associate


Position Description:

The administrative associate will provide administrative and logistical support to the firm’s growing staff. He/she will be responsible for ensuring smooth internal operations of the company as well as providing calendar, logistics and travel support to the company’s principals.

Main Responsibilities

  • Support the company’s Office Manager and Finance Director
  • Provide administrative and logistical support to all staff
  • Maintain office, company files, and GHS shared database
  • Inventory office supplies
  • Maintain systems for expenses and billings
  • Provide company-wide IT troubleshooting support
  • Book and track travel for company Principals and other high-level staff as needed
  • Oversee client visits
  • Plan and manage GHS events
  • Assist with recruiting
  • Maintain GHS website
  • Build and maintain strong relationships with vendors
  • Support and coordinate with India staff
  • Provide research and project support to GHS client teams, as needed

This position also requires 50% time as the Assistant to a company Principal. He/she will be responsible for providing support to the company Principal on a daily basis. Additional responsibilities will include:

  • Maintain calendar of internal and external appointments
  • Provide research, travel, administrative, and light accounting support
  • Draft emails and other correspondence/materials
  • Organize to-do lists and materials for review

Required Qualifications: GHS is seeking an extremely detailed oriented, intelligent self-starter who gains a great sense of accomplishment from creating and maintaining well-run systems. The individual must be well-organized and able to complete tasks in a timely and efficient manner. He/she should be reliable, interact well with colleagues and possess a good sense of humor. In addition, the associate should meet the following qualifications:

  • B.A./B.S. in a related field
  • Experience and a passion for global health issues
  • History of taking initiative, being an advocate, and executing successful organizational systems
  • Ability to work in a fast-paced, demanding environment
  • Successfully manages multiple tasks
  • Proficient in Microsoft Office and Adobe Photoshop

  • Skills in website content management
